What belongs in a business email signature

A signature is a business card that gets seen dozens of times a day. It should answer three questions instantly: who are you, what do you do, and how does someone reach you right now.

Keep it to five or six lines. Anything longer gets skimmed past, and long signatures create the dreaded stack of repeated blocks in a long reply chain.

Why HTML email signatures break

Email clients are not browsers. Outlook on Windows renders HTML through Microsoft Word's engine, which ignores most modern CSS — flexbox, grid, background images and external stylesheets are all unreliable. That is why signatures built in a design tool so often arrive as a scrambled column.

The output from this generator uses table-based layout with inline styles, which is the only approach that renders consistently across Gmail, Outlook, Apple Mail and mobile clients. Images are kept to a minimum because many clients block them by default — if your logo is blocked, the signature must still read correctly.

Installing your signature

In Gmail, open Settings → See all settings → General → Signature, paste the copied signature and save. In Outlook for Windows, go to File → Options → Mail → Signatures. In Apple Mail, create a signature, untick "Always match my default message font", then paste.

Always send a test to a colleague and check it on a phone. Roughly two-thirds of business email is first opened on mobile, and a signature that is wider than about 500 pixels will force horizontal scrolling.

How do I add an HTML signature to Gmail?

Copy the generated signature, then in Gmail go to Settings → See all settings → General → Signature → Create new, paste it in and click Save Changes at the bottom of the page. Paste using Ctrl+V (not "paste as plain text") so the formatting is preserved.

Why does my email signature look broken in Outlook?
